Conveyancing Legal Assistant

Due to internal progression, John Hodge Solicitors are looking to recruit a full-time experienced Conveyancing Legal Assistant to join our practice. We can offer a degree of flexibility as to which of our offices the Conveyancing Legal Assistant will work from, taking into account the preferred office location of the successful candidate.

Legal Assistants are integral to the success of the business, providing our Lawyers with essential and pro-active support. The successful candidate will experience a high volume of administrative tasks and in return will benefit from working alongside a friendly and supportive team of two Partners, one Consultant Solicitor, one Solicitor, two Paralegals and one Legal Assistant with a varied caseload of Residential and Commercial Property matters.

Key Responsibilities and Duties:

  • Take initial enquiries over the telephone and face to face and provide an estimate of costs to the client;
  • Assist with telephone calls from clients and third parties;
  • Deal with chasing of clients and third parties;
  • Open electronic and physical files following receipt of instructions from client. The practice are in the process of working towards achieving a paperless office;
  • Maintain electronic and physical files so they remain up to date;
  • Issue contract packs;
  • Order Land Registry documents;
  • Order searches;
  • Prepare exchange and completion letters;
  • Deal with pre-completion searches;
  • Set up completions;
  • Assist the team to achieve completion targets;
  • Open and scan in post for the office;
  • Maintain adequate supplies and resources for the office.

Essential qualifications, skills and experience:

  • Be available to work a minimum of 4 days per week Monday – Friday 09:00-17:15 and Saturdays 09:00 -13:00 to cover annual leave when required up to 4 times a year;
  • Have strong communication and client care skills to ensure clients receive an efficient, reliable and friendly service over the telephone, in written correspondence and face to face;
  • Demonstrate initiative and be flexible and proactive in support to the department and the wider office team;
  • Be willing to cover other offices if required;
  • Be a team player but also be able to work autonomously;
  • Be highly organised and methodical to prioritise and manage own workload, whilst maintaining attention to detail under time pressures;
  • Have excellent typing skills;
  • Have a working knowledge of Microsoft Office;
  • Be conscientious, loyal and committed with a strong work ethic.

Desirable qualifications, skills and experience:

  • Have recent knowledge and experience working within a conveyancing department;
  • Be available to work Monday-Friday 09:00-17:15 and Saturdays 09:00-13:00 to cover annual leave when required up to 4 times a year;
  • Have a working knowledge of a case management system.
